The Egypt Port Call Checklist: Documents & Timeline

A port call in Egypt runs smoothly when the groundwork is done before the vessel arrives. Most delays don't happen at the berth, they happen because a document was missing or an agent was nominated too late. Here is what to send, and when, so the call stays on schedule.
Nominate the agent early
The single biggest factor in a smooth call is nomination timing. The earlier the agent is nominated, the more time there is to check documents, coordinate berth and supplier requirements, arrange authority approvals and flag anything missing. Complex cargo, crew changes, special permits or offshore-related calls should be shared as early as possible, short-notice calls can still be handled, but the document and funding file has to be complete.
What to send first
- Vessel name, IMO number, flag and call sign
- ETA, last port and next port
- Cargo status and operation (load, discharge, transit, lay-up)
- Required services, agency, husbandry, crew, stores, bunkers, survey, customs
- Any crew change, spares, waste, or special-permit requirements
The documents an agent will need
Beyond the enquiry details, a port call in Egypt draws on the vessel's standard document set, registry and class certificates, crew list and last-port clearance, cargo documentation, and the relevant safety and security certificates. The specific requirements depend on the port, cargo and operation, which is exactly why sharing them early lets the agent confirm what's needed and prepare the file before arrival rather than at the quay.
A simple pre-arrival timeline
- On nomination, send vessel particulars, ETA and the required services
- Well before ETA, agent confirms berth prospects, documents, suppliers and any permits
- Before arrival, pre-arrival documentation lodged, PDA settled, husbandry arranged
- On arrival, attendance, clearance and services execute against the prepared plan
- After departure, final disbursement account and close-out
